Part 1 of 4

Start-ups

Set up right from the start, before habits set in.

Her eye shows in how the business presents itself from day one, from the first reply to the first invoice.

Before and after

A new unit, before and after

Watch the string close round it, then slide between the two yourself.

Before: a new shop and studio unit on move-in day, bare shelving, spare shelf boards against the wall, flat-pack boxes on the floor, coiled cables and loose papers on the counter.
Before
After: the same unit set up and ready to open, a pale oak counter with a card reader and labelled trays, stock in neat rows on oak shelving.
After
  • Diary rules
  • Folders
  • Client stages

What you keep

A written guide for each system

Every system she sets up comes with a short written how-to guide, so it keeps running after she steps back. Here is the kind of thing one holds.

How your enquiries are handled

  1. An enquiry arrives by email or through your booking form.
  2. A rule files it in the Enquiries folder, and your saved reply thanks them and says what happens next.
  3. You read it and move it to Booked, Waiting or Not for us.
  4. A booked enquiry gets a client record and a slot in your calendar.
  5. Anything still waiting shows up in Friday's check.

Where things live

  • Enquiries: the Enquiries folder in your inbox
  • Client records: the Clients sheet in your shared drive
  • Quotes: the Templates folder in your shared drive

What to check each Friday

  • Nothing unread in Enquiries
  • Every booked client has a record
  • Every quote sent this week is filed

What she sets up

Four parts, fitted to each other

The diary

When the diary takes bookings, the time held for the work itself, and online booking that lands straight in it. Set once, in your own calendar.

The inbox

Folders, rules and saved replies, so every enquiry lands in one place.

The paperwork

One shared drive with named folders, client records kept in one place, and quote and invoice templates ready to use.

The routines

A short plan at the start of each week and a close at the end of it, written down, so the set-up keeps running after she steps back.

The package
