What Foundations sets up

Each system, set up in turn

First

The diary and the inbox

Online booking with your rules, reminders that send themselves, and a folder and a rule for every kind of message.

Example: the diary's rules

  • New bookings come in through one link
  • Calls on Tuesday and Thursday mornings
  • Fifteen minutes between appointments
  • A reminder the day before, sent by itself
  • Friday afternoon kept for the weekly check

Then

The files

One shared home for every file, each name written the same way, so anything is easy to find.

Example: the shared files

  • Your business
    • 01 Clients
      • 2026-11 Client Quote.pdf
    • 02 Money
      • Invoices
      • Receipts
    • 03 Marketing
    • 04 Templates

And

The clients, the quotes and the invoices

Every enquiry in one list, moved through its stages, with quote and invoice templates ready in your own tool.

Example: the enquiry stages

  1. New enquiry2
  2. Call booked1
  3. Quoted3
  4. Booked2
  5. Done and invoiced4

What you keep

A how-to guide for every system

Foundations leaves a written how-to guide for each system it sets up, so the way it runs is yours to keep. Open a chapter of this example guide.

How the business runs

1Where everything livespage 1
  1. Files: one shared home, four folders. Clients, Money, Marketing and Templates.
  2. The diary and the client list: both open from the same home screen.
2The inbox: folders and rulespage 3
  1. Invoices and receipts go to Money by themselves.
  2. Newsletters go to To read by themselves.
  3. A message from a client stays in the inbox until it has a reply.
3The diary: how bookings come inpage 6
  1. A client books through the link on your website. It shows the times you have set as open.
  2. The booking lands in your diary with the client's name and what it is for.
  3. A reminder goes to the client the day before, by itself.
  4. To close a day, add an event called Closed. The link hides that day.
4The clients: from enquiry to invoicepage 8
  1. Every enquiry goes on the list as New.
  2. Move it on as it changes: Call booked, Quoted, Booked, Done.
  3. A quote starts from the template in Templates; so does the invoice.
5The weekly checkpage 11
  1. Friday afternoon, twenty minutes.
  2. Empty the inbox into its folders.
  3. Check next week in the diary.
  4. Send the invoices that are due, and move each client on.
