01Diary

An example

Start-ups, the diary

Booking rules, written down once

The rules a booking page follows, and what a booking looks like when it lands in the calendar.

The rules

  1. Bookings open four weeks ahead, and never for the same day.
  2. A gap of fifteen minutes stays clear after every appointment.
  3. One morning a week is held for the work itself and never shows as free.
  4. Three short questions come with each booking, so the first conversation starts prepared.
  5. A confirmation goes out at once, and a reminder the day before.

How a booking lands

  1. 09:00Held for the work itselfNot open to bookings
  2. 11:00Consultation, booked online newTheir three answers attached
  3. 12:00Gap, kept clearAdded on its own
  4. 12:15Open to bookShown on the booking page

Set once. After that the diary keeps its own rules, and the confirmation and reminder go out without anyone sending them.

02Inbox

An example

Start-ups, the inbox

One inbox, before and after

The same messages, filed where they belong, with the rules and saved replies that keep them there.

Clients

  • Re: the proposal, a couple of questions
  • Thank you, and one more thing
  • Can we move our call?

Suppliers

  • Your order has been dispatched
  • New delivery days from next month

Invoices

  • Invoice attached for last monthflagged to pay
  • Payment reminderflagged to pay

Waiting on

  • Could I book in for next week?link sent
  • Do you have anything on a Saturday?link sent

Read later

  • This month's ideas and offers
  • News from the trade
  • You're invited: an online talk

Three rules, in plain words

  1. Anything from a supplier skips the inbox and goes to Suppliers.
  2. Anything with an invoice attached goes to Invoices, flagged to pay.
  3. Newsletters go straight to Read later, for one quiet look a week.

Two saved replies

  • New booking requestThank you for getting in touch. Here is the link to choose a time that suits you.
  • Invoice receivedThank you, this has reached us and is with the accounts.

03Client stages

An example

Start-ups, client stages

Every job, on one board

Four stages, left to right. A card moves on when the next thing happens, so nothing is chased from memory.

04Paperwork

An example

Start-ups, paperwork

A shared drive with a place for everything

Named folders, with the templates ready inside. Open or close any folder.

Shared drive: the business

  • 01 Clients
    • _New client
      • Welcome lettertemplate
      • Project brieftemplate
      • Sign-off formtemplate
    • One folder per client, copied from _New client
  • 02 Proposals and quotes
    • Proposaltemplate
    • Quotetemplate
  • 03 Money
    • Invoicetemplate
    • Receipts, by month
    • For the accountant
  • 04 Marketing
    • Brand kit
    • Post layoutstemplate
    • Photo library
  • 05 Running the business
    • How things are done, step by steptemplate
    • Supplier list
    • Insurance papers

Three naming rules

  1. Numbers first, so the folders always sit in the same order.
  2. A starting underscore marks the folder to copy, never to fill in.
  3. Files start with the year and month, so they sort by date on their own.

Of these templates, the quote and invoice are set up in Foundations; the rest show what a drive can hold.

01What changes

Before: a founder's kitchen table in the first week, receipts, unopened post, sticky notes and cables across it. After: the same table set up for the business, three labelled folder boxes, a closed laptop and a tray.
Drag the string, or tap a side.

The same table, set up.

A founder's first week on one side; on the other, the same table once every piece of the business has its place.

An example

Start-ups, a written how-to guide

A guide to keep, one for each system

Short, numbered and written for whoever runs the business, so the set-up still makes sense months later.

How bookings work

Kept in your shared drive, in 05 Running the business

Step by step
  1. A client opens your booking link. It is in your email signature and on your website.
  2. They choose a time. Only the times your rules allow are shown.
  3. The booking lands in your calendar, with their answers attached.
  4. They get a confirmation at once, and a reminder the day before.
  5. To move a booking, open it in your calendar and choose Reschedule. They are told on their own.

02How Foundations runs

Five steps, and then it is yours.

  1. 01

    Kick-off

A kick-off first: how the business works today, where its enquiries come from, and the tools it already pays for.

  2. 02

    The set-up

Up to five systems set up, in your own tools.

  3. 03

    The on-site day

One on-site day, up to 5 hours on site, at your table across Bath, Bristol and the surrounding area.

  4. 04

    The handover call

A handover call, with a written how-to guide for each system, so it is yours to run.

  5. 05

    The check-in

A check-in 30 days later, to see how it is running.

03What it costs

Foundations, in full.

The set-up

Foundations

£695

For a business of one or two people

Prices include any VAT due.

Software subscriptions are paid to the provider by you. A team of three or more is quoted in writing, at the same rate as this package. Taking items away is not offered.

The on-site day is in person across Bath, Bristol and the surrounding area, with no travel charge added: travel, parking and any clean air zone charge are inside the price.

Further afield, the set-up is offered remotely, at a price quoted in writing.

If you book as a consumer, you can change your mind up to 14 days after the day you agree the package. Work starts inside those 14 days only if you ask for it; if you then cancel, you pay for the work already done, in proportion. If you ask for work to start inside the 14 days and agree that you lose the right to cancel once it is finished, you can no longer cancel after the work is complete.

A business that is not trading yet is treated as a consumer here.

Laura, in her own words

And after the handover

If you would like her to keep the business running, her monthly hours are there.

Her monthly hours, on Business

04Not hers to touch

What she never touches.

  • The books
  • Payroll
  • Tax returns
  • Company formation
  • Companies House filings
  • A registered office or mail address

Those stay with your accountant, or with whoever you choose for them. Everything she sets up runs on your own tools.

05The call

A free call, with Laura herself.

You say what does not run properly yet. She says which part fits, what it costs in full, and what happens next.

Bring the date your business started, or will start. A doubt left over is for the questions page.

This opens her Linktree page, where the form is: it leaves this site.
